Position Description:

As a Program Coordinator I for the Office of Diversity & Inclusion (ODI) and the Center for the Advancement of Women in Science & Medicine (AWSM) you will support institutional diversity, equity, and inclusion efforts for the Medical College of Wisconsin. This role will support the administrative needs for the ODI and AWSM, assist with the implementation of institutional signature programs and core events, and support the needs of MCW's Employee Resource Groups and Council for Women's Advocacy. The Program Coordinator reports to the leadership team within the Office of Diversity & Inclusion and will work under the general direction of the Program Managers of ODI and AWSM. This role will regularly collaborate with ODI leadership, ODI staff members, and partners.

Responsibilities/Functions:

  • Support the administrative needs of the Office of Diversity & Inclusion, such as triage emails for the Office of Diversity and Inclusion inbox, gather ODI mail, schedule Office meetings, prepare team meeting agendas and minutes, maintain office equipment such as changing toner/copier, and coordinate the order of office supplies.
  • Coordinate administrative tasks for AWSM core events including but not limited to managing day-of logistics, coordinating resources including supplies, refreshments, room reservations and speaker schedules, facilitating virtual options, creating invitations and sending follow-up emails on behalf of AWSM.
  • Organize and maintain the calendar for AWSM's director.
  • Assist with calendar management for the Office of Diversity & Inclusion and ODI Leadership.
  • Assist in the creation of event registration forms, surveys, reports, agendas, meeting minutes and presentations.
  • Provide support to both teams to facilitate the achievement of the office's annual goals.
  • Assist with the planning and implementation of signature programs and core events to advance MCW's value of inclusion.
  • Support the administrative needs of MCW's Employee Resource Groups and the MCW Council for Women's Advocacy.
  • Work collaboratively and nurture relationships with the Office of Student Inclusion and Diversity, the Cancer Center EDIB Office, Organizational Development, the Office of Community Engagement, Human Resources, and the Office of Global Health.
  • Attend team meetings for the Office of Diversity & Inclusion and AWSM and serve on one institutional committee.

Knowledge - Skills - Abilities

Experience in supporting the administrative needs of an office. Strong time management, prioritization, organizational skills, and attention to detail. Excellent oral and written communication skills. Experience working across all levels of leadership and employee classification. Experience supporting the work of Employee Resource Groups. Experience in the use of technology for program operations. Efficient self-directed work, ability to remain focused, meet deadlines, and possess attention to detail. Ability to work both independently and as part of a team. Ability to work cooperatively and fairly with people whose backgrounds may differ from one's own.

An ideal candidate will be detailed oriented, values-based, and have experience supporting the administrative needs of an office.

Position Requirements:

Appropriate experience may be substituted on equivalent basis

Minimum Required Education: Bachelor's Degree

Minimum Required Experience: 2 years

Preferred Education: Bachelor's degree

Preferred Experience: 5 years of experience with program coordination and experience supporting the administrative needs of an office.
