Position Description:

In the role of Project Manager in the Office of the Provost you are responsible for supporting the planning, facilitation, communications and coordination of strategic projects, programs, and initiatives supporting the Office of the Provost leaders and team.

The Project Manager executes the planning, development, and implementation of strategic projects and initiatives working in partnership with interdisciplinary work groups and key stakeholders to meet the strategic vision of the project. Effectively manages implementation schedule and priorities and delivers high quality solutions.

Primary Functions

  • Oversees multiple projects of a complex nature involving multiple departments and stakeholders across the organization. Manages project design and scope, project planning and tracking, implementation and transition to operations.
  • Ensures that projects are delivered within the approved project scope and that projects meet approved project requirements.
  • Works with Provost and MCW leaders to appropriately manage, identify, and secure appropriate resources to provide project deliverables.
  • Develops and maintains the project schedule to ensure timely and successful project completion.
  • Develops accurate project proformas that include assumptions, FTE, duration, cost, and resources for all phases of a project including transition to operations. Manages project budget. Performs budget analysis. Ensures project is completed within budget.
  • Creates and oversees effective communication plans that address all aspects of the project and comprehensively target appropriate audiences. Facilitates communication among workgroups and key stakeholders. Composes and edits correspondence. Reports on project status.
  • Maintains communication with Provost to manage expectations throughout the project.
  • Uses effective change management techniques to manage changes to project scope and impact of changes on key stakeholders.
  • Effectively uses project management tools and techniques, such as creating and maintaining project schedules, risk and issues logs, project change requests, and status reporting.
  • Uses appropriate project team members as contributors, reviewers, and approvers of project documentation to produce high-quality project deliverables.
  • Assures compliance with regulatory and institutional policies and committees.
  • Plans and facilitates meetings and prepares meeting activities. Manages action items to completion.




Preferred Schedule:




Full-time role with expectations for coverage during core business hours and flexibility required as necessary to accommodate business needs.



Position Requirements:

Knowledge - Skills - Abilities

  • Proven excellence in organizational, time and project management skills with demonstrated ability to prioritize assignments, handle multiple projects and details simultaneously, and meet deadlines.
  • Task / Project Management: able to independently and collaboratively manage assigned projects and tasks to accurately complete them within budget and by the due date with highest customer satisfaction. Able to manage multiple workgroups and / or stakeholders across several projects at once.
  • Problem Solving Skills: Able to recognize issues and determine priority. Able to foresee possible barriers, quickly isolate the root cause of issues that arise, and resolve utilizing all available resources.
  • Communication Skills: Able to effectively and professionally communicate in both written and verbal form to customers and management with highest courtesy and elocution.
  • Interpersonal Skills - Must be pleasant, courteous, and professional to faculty and staff. Demonstrated ability to build relationships across all levels within the organization. Able to handle stressful situations in a calm and patient manner. Must maintain a positive attitude in all situations.
  • Unquestioned integrity. Proven experience handling highly confidential and sensitive materials and situations.

Appropriate experience may be substituted for education on an equivalent basis

Minimum Qualifications:

  • Bachelor's degree
  • 6 years experience
Preferred Qualificaitons:
  • Master's degree
