DEPARTMENT OVERVIEW

The Division of Global Engagement (DGE) at the University of California Santa Cruz advances the University's teaching, learning and research mission by working collaboratively throughout the institution to promote global engagement and advance campus internationalization by increasing international mobility among students and faculty, promoting faculty engagement in international activities and developing strategic partnerships abroad. DGE interacts with campus leadership on strategic planning and initiatives to elevate the reputation of UC Santa Cruz globally. DGE units include International Student Services and Programming, International Faculty and Scholar Services, Global Learning, and Global Initiatives.

JOB SUMMARY

Under the general direction of the Executive Director of Global Mobility, the Associate Director will lead the study abroad team as well as lead program development and implementation. The incumbent will oversee services to students going abroad, make recommendations and implement campus policies and procedures in collaboration with the Executive Director.

The incumbent collaborates with academic and administrative units across the university to develop and manage Global Learning programs, support student enrollment and advance the mission of the university. Researches, analyzes and develops solutions to a wide range of study abroad/away-related issues and processes. Keeps current with trends in international education in a higher education setting to ensure services and programs remain up-to-date and pursues innovative strategies for continual improvement of all services provided.

The Global Learning unit oversees a portfolio of custom programs, such as faculty-led, exchanges, and internships, which are growing rapidly and are a priority for the Division and campus. University of California systemwide programs, such as UCEAP, the University of California Washington DC Center Internship program, and the UC Center Sacramento internship program are also part of the portfolio. The incumbent will maintain an
in-depth knowledge of all Global Learning programs to identify administrative and advising efficiency as well as innovative enrollment strategies for program growth. They will maintain broad knowledge of campus academic departments and colleges policies to ensure effective student advising and enrollment management aligned with campus academic requirements. The incumbent will oversee recruitment, pre-departure and reentry strategy and administration, and guide the Global Learning team in the daily operations that support these areas.

Additionally, they will oversee the health and safety procedures and protocols as well as crisis management for Global Learning programs, including the implementation of a response strategy to promote and protect the wellbeing of all program participants, identifying and monitoring program risks, and training for faculty, staff, and students to mitigate risk abroad.

The Associate Director manages a team of Global Learning staff, overseeing the team's human resource and finance needs and all team operations. Oversees the daily operations of the unit, ensuring that the staff has the support and resources needed while identifying opportunities for synergy and collaboration across the team and with other Global Engagement units.

APPOINTMENT INFORMATION

Budgeted Salary: $103,250 - $112,225/Annually. Salary commensurate with skills, qualifications and experience.
Under California law, the University of California, Santa Cruz is required to post a reasonable estimate of the compensation for this role. The salary shown above is the budgeted amount the University reasonably expects to pay and the salary extended should not exceed this posted amount.

JOB DUTIES

40% - Global Learning Unit Leadership

  • Oversee Global Learning operations, providing strategic leadership to the unit while ensuring program maintenance and growth.
  • Manage the day to day operations, including student advising, development and implementation of outreach strategies, predeparture process and planning, campus reporting, program evaluations, and academic integration efforts.
  • Create and maintain program budgets in collaboration with program partners, adhering to campus and divisional financial protocols to ensure fiscal responsibility.
  • Manage enrollment administration and strategies, identifying and resolving barriers to student participation and program development.
  • Independently interpret and ensure adherence to UCSC, system-wide and national policies and regulations as they relate to study abroad programs.
  • Identify administrative strategies to improve efficiency, operations and growth.
  • In consultation with the Executive Director and systems staff, identify new and innovative ways to use systems to support Global Learning students.
  • Assist with data management and special programs, as required.

20% - Staff Supervision

  • Makes decisions on performance, salary actions, hiring decisions, and other human resources-related issues of managed staff.
  • Conducts annual performance evaluations and develops professional development goals with managed staff to achieve the goals and objectives of the unit and division.
  • Oversees hiring committees for the unit, making hiring decisions and developing strategies and best practices in the management of unit human resources.
  • Oversees, through subordinate staff, all study abroad/away advising, administrative tasks, and other related services provided by the Global Learning unit. Other services include pre-departure support, outreach and recruitment, and campus and divisional unit collaboration to support undergraduate mobility.

20% - Program Management

  • Manage Global Learning programs and the unit-wide services that support student participation, including applications, program logistics, pre-departure programming, program budgets, and outreach.
  • Oversee new program development to ensure operational standards, engaging with study abroad vendors, host institutions, faculty, and departments.
  • Research and develop new procedures to support growth of programs and student enrollment that align with divisional and campus priorities and meet campus operational and academic policies.
  • Liaise with internal and external stakeholders to communicate Global Learning policies and procedures. Serve as unit liaison for management and communication with different campus units that support outbound students, including Financial Aid, Registrar, Summer Session, Disability Resource Center, Student Health Center, Departments, Colleges, and others.
  • Develop and maintain relationships with study abroad vendors, UC colleagues, host institutions abroad, and other stakeholders that support outbound mobility.

20% - Risk Management

  • Oversee student pre-departure health and safety content and resources, faculty training and preparation, as well as onsite program protocols.
  • Provide emergency response for custom Global Learning programs.
  • Serve on campus and campus-wide risk committees and liaise with key stakeholders and units to identify and promote best practices in the areas of health, safety, and risk management as it relates to student mobility.

REQUIRED QUALIFICATIONS

  • Bachelor's degree in related area and / or equivalent experience / training.
  • Advanced knowledge of advising and counseling techniques.
  • Experience and demonstrated skills in staff employee supervision and management.
  • Experience utilizing application management tools, such as ViaTRM, Terra Dotta or Horizons.
  • Demonstrated analytical/problem-solving skills.
  • Highly effective written communication skills; demonstrated attention to detail.
  • Highly effective verbal communication skills, including presentation skills.
  • Interpersonal skills to effectively communicate and successfully work with campus stakeholders; academic departments, faculty, institutional partners, study abroad vendors, etc.
  • Expertise in managing multiple tasks in a high-volume work setting with demanding timeframes.
  • Demonstrated experience in study abroad risk management and crisis response.
  • Demonstrated multicultural competencies; successful prior experience working with international populations.
  • Demonstrated experience in administering budgets, including program-specific budgets and staffing, and ensuring the department is within its budget allocations and spending limits.

PREFERRED QUALIFICATIONS

  • Masters degree in related area and / or equivalent experience / training.
  • Knowledge of common higher-ed international organizational structures and practices.

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.

  • The selected candidate will be required to work primarily on campus, with periods of remote work possible based on operational needs. If a hybrid work schedule is confirmed, the selected candidate must be able to work successfully from a home/remote office and be able to fulfill the requirements of the UCSC telecommuting agreement.
  • Ability to work occasional evenings and weekends as directed.
  • Ability to occasionally work overtime with little or no advance notice.
  • Ability to respond to emergencies after hours as necessary.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
