THE POSITION

Within the role of an Administrative Assistant, this position performs a variety of administrative duties to support Investment Office (IO) professionals with the primary role to serve as the key support to the IO Research Management System (RMS) Administrator (System Administrator). The RMS is a critical system within the IO that provides an environment for storing and sharing information across the IO to help create open communication. The RMS is used as a central location for depositing and organizing documents (reports, operational and legal information) and holds the approvals and approval workflows for Committees, Capital Calls, Budget, Fees, and Distributions. DESCRIPTION OF WORK

As the key support to the System Administrator, this position's core purpose and ultimate intention is to provide RMS related administrative and operational support by administering day-to-day functionality of the system; completing quarterly compliance checks on user access and automation rules to ensure the integrity of the system; integrating essential workflows into the system; as well as assisting management in coordinating operational aspects related to upgrades to the system, server shutdowns, and other RMS related projects.

This position reports directly to the Investment Office (IO) Administrative Officer and works as a member of a team with other Investment Office (IO) support staff. This Administrative Assistant completes cross training in other IO support areas to include the Executive Office/Board support functions and may be directed to assist in those areas as operational necessary. Work is evaluated by the Administrative Officer based in part on input from management of supported areas including temporary assignments.

This position requires independent decision making and the ability to adapt to changing priorities and demands. Due to the sensitive and high visibility nature of the Executive Office, Board, and investment-related information handled by these groups, this position must exercise sound judgment and discretion in confidential matters.

Work Schedule and Additional Information:

  • Full-time employment
  • Work hours are 7:30 AM to 4:00 PM, Monday - Friday, with a 60-minute lunch.
  • Telework: You may have the opportunity to work from home (telework) part-time. In order to telework, you must have a securely configured high-speed internet connection and work from an approved location inside Pennsylvania. If you are unable to telework, you will have the option to report to the headquarters office in Harrisburg.
  • Salary: In some cases, the starting salary may be non-negotiable.

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS

Minimum Experience and Training Requirements:

  • Such training as may have been gained through graduation from a four year college or university; or
  • Any equivalent combination of experience and training.
