Position Description:

The Patient Relations Representative III (PRR) is the gate keeper and subject matter expert for all things scheduling related for the Neuropsychology Clinic. It requires in depth knowledge and understanding of the specialty as well as all schedules and scheduling tools.

The expectation of the PRR is to provide excellent customer service, clear communication to patients, providers, and partners, and ensure that all appointment days and times are being utilized to their fullest potential.

Responsibilities:

  • Phone coverage: Answering primary phone extension for the clinic. Manage and direct calls as appropriate.
  • Clinic check In/check out: Check patients in for their appointment upon arrival. Complete check out processes such as follow up scheduling upon conclusion of visit.
  • Scheduling: Partner with central scheduling to schedule patients using standard protocols and directives. Coordinate scheduling for complex, urgent and time sensitive cases that may fall outside of typical protocols. Manage wait list, no shows, and cancellations.
  • Provider schedule management: Block schedules for time off requests. Proactively block schedules for other patient care duties such as call coverage or participation in multidisciplinary clinics. Communication accordingly with partners impacted by schedule changes.
  • Clinic preparation tasks: Complete reminder calls and clinic readiness processes prior to visit. Ensure any requested records/documentation has been received.
  • Clinic follow up tasks: Schedule follow up/feedback appointments. Distribute reports post visit or upon request.
  • Develop understanding, and possibly assist with, prior authorization/insurance processes specific to neuropsychology.

Mon-Fri 7:30am-4:00pm or 8:00am - 4:30pm



Position Requirements:

Minimum Required Education: High School Diploma

Minimum Required Experience: 3 years in a clinical and clerical setting

Preferred Qualifications:

Preferred Experience: Epic, customer service, patient care
