Duties and Responsibilities
Under the supervision of the Executive Director, Business Leadership Hub, this role performs various administrative functions related to the meetings, programs, and events conducted by the Business Leadership Hub, its centers, and Quinlan's Executive Programs .
Duties and Responsibilities:

  • Be available to work on Saturdays 6:45 a.m. - 3 p.m. to support Hub events and Executive Degree programs.
  • Collaborate with the Hub Program Coordinator on duties listed below and other needs as assigned for the Hub
  • Collaborate with the Executive Programs team on duties listed below and other needs as assigned for Executive Programs
  • Organize events - onsite materials, event staffing needs, registration lists, greeting participants
  • Reserve meeting, event, and program spaces
  • Order catering for all events and programs
  • Request registration setup for events and programs
  • Request Facilities and A/V needs for all events and programs
  • Create and maintain monthly event and programming calendars
  • Maintain office supply inventory and order supplies as needed
  • Organize program and event receipts, reconcile payments, and assist with expense reimbursements
  • Pull Hub data as requested
  • Complete appropriate hiring paperwork and onboarding for new student workers
  • Support updates to the websites of each center in coordination with marketing and IT teams.
  • Research and support content development for websites of each center
  • Support sales and marketing
  • Serve as entry point for inquiries and ensure that existing members, sponsors, and other leads are directed appropriately
  • Support sponsorship and marketing calls
  • Perform other duties, as assigned

Minimum Education and/or Work Experience
High school diploma or equivalent and one to three years of relevant experience.

  • Customer service orientation
  • Strong communication skills that embody our Jesuit mission in all interactions both internally and externally
  • Strong organizational skills
  • Must be self-motivated with the ability to multitask and work effectively independently.
  • Strong attention to detail, accuracy, sound judgment and the ability to maintain confidentiality required
  • Ability to write error-free reports, business correspondence, and other communications.
  • Ability to interpret written and oral instructions
  • A desire to be a team player and work well with others in a highly collaborative environment

Computer Skills
Proficiency with Microsoft Office Suite, particularly Outlook, Excel, PowerPoint, and SharePoint. Salesforce a plus. Willingness to learn various university platforms.
